Creating Orders for Quick Service Point of Sale

How to Create & Edit Orders in your Quick Service POS

There is a lot that goes into putting together a guest's order. We have made the process a breeze with our Quick Service Point of Sale. Check out the guide below to get started!

Starting an Order

 

To start a new order. Simply click on the blue "Plus" icon located at the bottom right-hand corner of the screen!

Clicking this "Start Order" button will open up the order creation page. This is where you can add items to an order, make changes, and even take payment.


 

Creating Orders

In the following steps, we go over the different parts of creating an order. Including Naming an Order, Adding Items, Variations/Modifiers, and more!


Naming an Order

Giving orders a name is a great way to keep track of them, but also can provide a great experience for guests interacting with various members of your team. An orders name will follow through all stages of the system, allowing you to have a personalized touch when interacting with the guest.

 

To name an order, click on the "Order Options" button located at the top of the order screen. A pop-up will appear that allows you to enter an order name and phone number. Once finished, click save!

As you can see in the screenshots below. When adding my name to an order, it carries throughout the various areas of the Table Needs system. On the left, you can see the order name on the View Orders page. On the right, you can see the name appearing in the KDS.

Variations & Modifiers

Before we start adding items to an order. There are a few key components that we might run into with different menu items. Understanding them and their differences will help us when it comes time to start selecting items.

 

Variations


Variations can be thought of as different "Versions" of a Menu Item. This could be different protein options in an entree, (Like the image to the right). Or even different sizes for the Menu Item.

When variations are enabled for an item, one must be selected when ordering.

Variations also allow you to have different prices associated with the versions of your Menu Item.

Modifiers


Modifiers are item options that can be changed or selected to customize an item.

A great example of this would be selecting sides for a dish, or maybe specifying how you like your steak cooked.

Modifiers can be required with minimums and maximums set for an item. Additionally, modifiers can have an additional cost associated with them.

While Variations and Modifiers share the ability to change how an item is made. The big difference between them is how they are required on an order. When Variations are enabled, one must be selected on the order. Modifiers have the ability to be optional or required for orders.


 

Adding Items to an Order

Now that we know how to start a new order, how to name it, and have learned about variations and modifiers. It's time to start adding actual items to an order!

When looking at the "Order Screen", you will see that items are separated into different categories. As an example, you might have a "Desserts" category and an "Entrees" category. When clicking on a Category, all of its menu items will appear beneath it (View Screenshot below).

To add an item to an order, simply navigate to that item through the Category Menu and click on it. 


 

Adding Items without Variations/Modifiers

If the Menu Item does not have any modifiers or variations. You will see the item instantly added to the order. Take a look at the GIF below. You will see the first item added to the order is "Poppers". These do not have any Variations or Modifiers and are instantly added to the order.

(Note: if an item does not have Modifiers or Variations, and you would like to add multiples of that item. Simply click the item again to add more than one)


 

Adding Items with Variations/Modifiers

If you add an item to an order that does have Variations or Modifiers, you will see these options appear on the main portion of the screen. If you take a look at the GIF below. You will see that when clicking on the "Latte" Menu Item, the Variations and Modifiers appear before being added to the order. From here, you can select the options for this item, change the quantity, or add instructions! Once everything is all set, simply click on the "+ Add Item" button located at the bottom right of your screen.

(Note: The "Add Item" button will not be clickable until you have added a variation and the minimum number of modifiers)


 

Instructions

Does your guest have a specific Food Allergy? Maybe they want to exclude something that comes standard with their meal. You can add instructions to your guest's orders on a per-item basis.

To add instructions to a specific item, you can click on the "Add Instructions" button located at the bottom right of the page, or the button just below an item's variations.

Once the instructions have been saved and you add that item to the order, you will see the instructions added as a line under the item's name. These instructions will follow the order through the TableNeeds system and will show up on your KDS.
