Learn the flow of purchasing a gift card within the Table Needs system, to use either a physical or digital gift card as payment, and how to check the balance of an already existing gift card.
Important Note: Gift cards MUST BE purchased by themselves and cannot be purchased with any other items on the check. Once you start a gift card purchase, it will lock out all other items until you finish the purchase with the gift card and start a new check.
How to purchase a gift card
First, we will start on the Order tab of the point of sale. To begin purchasing a gift card we will start an order by selecting the “Plus” with the blue circle at the bottom right.
We will now be at the opening screen for an order. To start a gift card purchase, select the “Other” category from the top. Once we select that, we can see a New Gift Card menu item. We will select that.
There are two types of Gift Cards. There are Physical gift cards and there are Digital gift cards. The only major difference is the digital gift card has to have a physical number that is pre-generated from Stripe on it. Besides that, they function identically to each other. There will be a toggle at the top of the new pop up to select which type we want to do.
Digital Cards
Here we have the main page for starting a digital gift card.
To start a digital gift card. We will need to input the amount we wish by using the keypad on the right of the pop up.
Once we have the correct amount for the gift card, we will select the Customer Email Address field below and it will bring up a keyboard. We can now enter in the customer’s email for them to receive the digital gift card. When finished go ahead and select “Add Card”
From here, we can see the gift card now on the order. Everything else will be blanked out as gift cards need to be purchased by themself. We will now finish the order as a normal order and take either cash or card to finish this order.
Physical Cards
Here we have the main page for starting a physical gift card.
To start a physical gift card. We will need to input the amount we wish by using the keypad on the right of the pop up.
Once we have the correct amount for the gift card, we will select the Customer Email Address field below and it will bring up a keyboard. We can now enter in the customer’s email for them to receive the digital gift card.
Finally, we will input the gift card ID that is on the physical gift card itself. When finished go ahead and select “Add Card”
**IMPORTANT** These must be pre-generated from Stripe themselves. Not any gift card number will work in this field. If you need gift cards, please, contact support at Support@TableNeeds.com or call us at (720)821-4691
From here, we can see the gift card now on the order. Everything else will be blanked out as gift cards need to be purchased by themself. We will now finish the order as a normal order and take either cash or card to finish this order.
How to use a gift card as payment
First, we will start on the Order tab of the point of sale. We will begin an order as normal by selecting the blue “+” sign at the bottom right corner.
From here, we will put items on the order as we normally would.
Once we have items on the order, we will start the gift card payment by going to the three dots at the bottom left of the page.
From here, we can see the button for “Pay With Gift Card”
This will bring us to the page where we type in the gift card number. This will come from the guest’s physical or digital/email gift card.
Once we enter the gift card number and hit continue, we will end up on this page. We can see how much is remaining on the gift card and how much will be remaining after the gift card is used. We can finish this payment by using “Pay with Gift Card”.
On the next screen, the guest can choose whether to tip or not if there is excess available on the gift card.
Finally, the last screen will ask if we want to send a digital or print a physical receipt for this transaction.
From here, we can see the payment that has been processed on the order and the remaining balance if there is any. If the gift card was able to fulfill the remaining balance necessary, it will close out the order and bring this screen to a new order page with no menu items on the order list.
How to check how much is on a gift card
First, we will start on the Order tab of the point of sale. We will begin an order as normal by selecting the blue “+” sign at the bottom right corner.
From here, we will put items on the order as we normally would.
From here we can add any menu item to the order so the “Pay with Gift Card” button is highlighted. We will not be finishing this order so the remaining balance stays on the gift card.
From here, we can see the button for “Pay With Gift Card”
This will bring us to the page where we type in the gift card number. This will come from the guest’s physical or digital/email gift card.
From here, we can see the remaining balance on the gift card at the very top where it says “Gift Card Balance”. This is the amount on the gift card BEFORE payment is taken, so this will show the current balance on the gift cad. When you are done, go ahead and press “Cancel” to cancel this transaction.
From here, go ahead and select the item you placed on the order and
Go ahead and select “Remove Item”
Go ahead and select the three dots at the bottom left.
Select “Close Order” when you are done to close out this order if you do not need this order any more.
